Nova Southeastern University utilizes IST’s Mailstop & Barcode Technology to ensure services are delivered to thousands of employees at over 150 mail stops each day. Four separate mail runs are completed, with mailstops in all major buildings on campus, as well as deliveries and pick-ups at off-site, satellite locations. Each time an employee visits a mailstop to deliver incoming mail and packages and pick up outgoing mail and shipments, a handheld PDA is used to scan the barcode, capturing the time and date the mail stop was visited. All of this data is uploaded to the Remote Database Link, allowing the management team to run reports throughout the day, ensuring that all mailstops have been serviced and tracking the delivery and pick up times for each mail route. This information is also utilized to identify trends and patterns, so the team is able to adjust delivery schedules when needed, to optimize resources and offer efficient and timely services.
In addition to the mailstops, IST’s Barcode Technology is used to ensure critical tasks are done on time each and every day. For example, three times a day the management team does a thorough inspection of all package intake areas to be sure all equipment is in order, packages are being processed in the order received, and any perishable or special handling required packages are accounted for. The team member responsible for the inspection logs this information into a handheld PDA and scans the barcode. Once they have confirmed everything is in order, this acts as confirmation that the inspection was completed successfully at the required times and logs who completed the inspection. In case follow-up is needed, a similar process is used to confirm and track deliveries to students in the Residence Halls as well as pick-ups of outgoing mail and packages from student residents.
