The management report is a detailed report of the services we provide to the firm each month. The report provides accountability for our team by detailing the various duties performed and showcases the value of our services to our client and future clients. By reviewing these detailed reports our client can recognize trends in each section summary, then dig deeper to learn more about each service function’s performance. Recognizing these trends also helps the client plan and budget more efficiently. The thing I like most about the process is that it’s user friendly. In my previous experience with other companies, the data had to be compiled, combined and produced at the end of each month, which was both stressful and time consuming. With IST’s Monthly Management Reporting, my staff input the info for their department daily and at the end of the month the report compiles automatically with greater accuracy.
IST’s standard management report includes 31 sections covering all aspects of IST’s support services provided to each client.
As an added bonus, since IST has created all of its software in house and employs one of the most experienced IT staffs in the industry, IST is able to modify or create new reports to meet the specific reporting needs of any client.
All of IST’s reports are generated using IST-Suite. The custom proprietary, Web-based software collects the data entered by IST associates throughout the course of the day. This data includes, but is not limited to, service call information, incoming and outgoing packages and mail, individual centralized copy job information and decentralized convenience copier meter reads. This information is all stored in a master database that is backed-up daily at the IST corporate office. IST associates choose the desired reports and date ranges and IST-Suite automatically compiles the required information from the database and produces the report; exporting it into an un-editable Adobe PDF file. This system eliminates human error when creating reports and saves our managers hours of time each day by eliminating paper work.
Every month or at client’s request, IST’s on-site manager and account manager will review the management report and have an open discussion over a business lunch to review the previous month’s activities and discuss any areas that may need improvement and /or cost saving measures that can be implemented. IST also has in the management report a section for “action-steps”. This is a Web based report that documents any opportunities for improvements on an ongoing basis.
